These Data Protection Regulations are valid for all personal data collected, processed or used by Hamburg Messe und Congress GmbH or its subsidiary. This includes information that we received as a result of your participation in a trade fair or other event and your business correspondence with our company as well as data that was passed on to us by third parties to use for international trade fair purposes.
Also included is data contained in your registration documents, information received from your visits to our websites (which is used for purposes of technical administration) and data obtained as a result of a security check to determine if you are authorized to access any protected Internet pages. Our data-protection concept also incorporates contractors who might need your data to carry out an order to your complete satisfaction.

When you visit our website to browse, read or download information, for each visit our servers store the following information alongside the technical parameters for data transfer, in compliance with the statutory regulations:

What information was called up (incl. downloads)

We use this information to record the visit to our websites and to recognise visitors when they visit again. That helps us to make our websites more interesting for you. After elapse of some time we delete the information again.

That may for example be by transfer of your data by professional associations, exhibitors, foreign representatives, chambers of industry and commerce, or the communication of personal data by commercial address brokers. If you send us e-mails, we collect, process and use your personal data for management of our service offerings including the related correspondence. The same applies if you send us contact forms, letters or telefaxes.
You can naturally refuse at any time the use of your data for purposes of customer relations. We regularly refer to your right of refusal in all information and advertising letters and e-mails.
We have taken all necessary technical and organisational measures to ensure your data privacy, protecting the data which we collect, process and use from loss, destruction, falsification, manipulation, unauthorised access and unauthorised forwarding.

2. Online ticketing / registration
Our Ticket Shop offers you the service of online ticket purchase and/or registering as a trade visitor.
When you use our Ticket Shop, we receive from you the necessary data for handling of the ordering process and provision of the agreed services. Data fields for collection of data required for handling the business process are always specially marked as such (with an asterisk). It may also be necessary to give further details, e.g. sector, position, responsibilities and areas of interest (mandatory fields marked with an asterisk). This information provides us with a valuable basis with which to work when developing the focus of our event and seeking to cater to your requirements. It will also enable us to build profiles and send out relevant information to you before an event.
You have a right to request information about, or correction, deletion or blockage of, your personal data. Should you request the deletion of your personal data stored on our systems, your wish will be accommodated immediately unless there are conflicting obligations to keep records and documentation for certain retention periods. You may refuse consent for your data to be used for the purposes specified above or withdrawconsent at any time.
In addition, we give you the opportunity to correct or change data collected during the registration process. Such changes can be made easily under “Edit personal data”.
The external service suppliers that we employ, who sometimes require personal information in order to complete your order to your fullest satisfaction, are also included within our data protection provisions.
The password which you specified when registering should, for reasons of security, should consist of at least eight characters, contain at least one symbol (such as @), and should contain both upper-case and lower-case letters and numbers. Avoid trivial passwords. We store your password in encrypted form.
Hamburg Messe und Congress GmbH uses an encryption system in order to ensure the safe transfer of data to our commission external suppliers.
We shall not allow any storage/use/processing/transfer of your personal data without your consent nor allow anything to done with such information that might exceed the requirements of data storage as outlined above.
Use of your personal data within these pages shall be exclusively for the purposes of regular business processes and for customer care as regulated by the German Federal Data Protection Statute (BDSG).
If you are making inquiries of us from abroad, we will, if necessary, provide our foreign representatives with your data via a secure network for further processing. If you have specific queries about this, please contact the relevant foreign representative.
3. Electronic newsletters
We enable the ordering of electronic newsletters on various subject areas. For this, we record the e-mail addresses of those users who voluntarily register as subscribers. The users can delete themselves from the circulation list by following the instructions including in every dispatch.
4. Google Analytics
This website or mobile application uses Google Analytics, a web analysis service of Google Inc. ("Google"). Google Analytics uses so-called Cookies, i.e. text files stored on your computer that allow Google to analyse your use of the website. The data to be provided by the applicant in this process are stored and processed by our service provider, Haufe-Lexware Services GmbH & Co. KG. This processing is based on a contract on collection and processing of personal data on behalf of a third party pursuant to Section 11 Federal Data Privacy Act (BDSG), exclusively on behalf of Hamburg Messe und Congress GmbH.
The data are collected, used, processed and stored exclusively for management of the application process. The applicant’s data are deleted two months after the end of the application process. If you would like Hamburg Messe und Congress GmbH to store your data for a longer period in the applicant pool, please let us know in writing.
The data will not be transferred to third parties without your explicit consent. The data are transferred in encrypted form (https), so that they cannot be read, copied, changed or removed by unauthorised parties.
You can withdraw consent to use of your data at any time here.
8. Social sign-in / social login
Social sign-in / social login is an application for the process of checking into a protected area. On registration with a social media profile (e.g. Facebook, Xing, LinkedIn), the information on the user available there is automatically stored in administration of the website of Hamburg Messe und Congress GmbH. A new user profile is thereby created.
At the time of login with the social network password, the personal data are called up from the network and transferred to the database of Hamburg Messe und Congress GmbH. The link with the social network means that Hamburg Messe und Congress GmbH automatically received the data necessary for the registration process in the respective system.
9. WIFI access for visitors
To get access to the free HMC WIFI network, please submit the following information: Your first name, last name, and e-mail address. We will use your personal information for customer support, and in particular, to keep you informed by e-mail about your events of interest. All this is done in strict adherence to applicable current privacy protection laws.
Personal information of paid Premium Account users will also be used by HMC or one of our service providers for contract performance purposes.
10. Lead Tracking
Visitors subscribing to the “Lead Tracking” scheme provided by Hamburg Messe und Congress GmbH give consent for HMC to forward their personal data (form of address, title, name, forename, firm, street, postcode, town, email address) to the relevant exhibitors. Visitors participate in the Lead Tracking scheme by allowing exhibitors to scan their admission tickets during the event. The exhibitors are then sent the personal data of the visitors by HMC and may use the data for the purposes agreed with the individual visitors. Participation in this scheme is voluntary on the part of the visitors. Visitors may revoke their consent at any time, notifying the relevant exhibitors directly.
Permissibility of data storage, processing and use under section 4 (3) of the German Federal Data Protection Statute
As stipulated by Par. 4g of the German Federal Data Protection Act (BDSG), data protection officers must provide the following information in accordance with Par. 4e of the BDSG:
The purpose of the company is the implementation of trade fairs, exhibitions, congresses and events as well as all activities domestically and abroad in relation to trade fair, exhibition, congress and event business.
In order to fulfil this purpose, the company maintains trade fair and exhibition facilities, as well as congress and event premises, which it uses for the event or rents out for an appropriate fee. The company is also entitled to implement other events, which are suitable for promoting the business purpose.
Data collection, processing and usage is effected in order to accomplish the declared goals of the company, in particular for managing the respective business process, for quality assurance and improvement of our exhibitions, including provision of information to our customers before and after an event, and about subsequent events of Hamburg Messe und Congress GmbH.
The data collection, processing and use only takes place for fulfilment of the above purposes.
3. Description of the affected groups of persons and the related data or data categories
For the fulfilment of the purposes stated under 3.4, the following person-related data is collected, processed and used for each group of persons:
Representatives of exhibiting companies
Company data with addresses, contact persons and communication data, information on branch of industry, product data, contract and settlement data
Representatives of companies visiting the exhibition
Registration data such as company data with addresses, contact persons and communication data, information on branch of industry, product interests as well as contract and settlement data
Exhibition visitors (public events without status as professional visitor)
Name, address, communication data, exhibitors of interest, payment data
Exhibitors and potential visitors (potential new customers)
Company data with addresses, contact persons and communication data, information on branch of industry, product data, interests
Contact persons of suppliers, service partners and other business partners
Company data or data on institutions with addresses, contact persons and communication data, information on products and services, contract and settlement data
employees, applicants and service companies
Name, address, communication data, contract and settlement data
Video monitoring at the fair site and at CCH is used to control the flows of visitors and for security purposes. It is not used for other purposes.
4. Categories of recipients, whose details can be sent Recipients or categories of recipient to whom the data can be forwarded:
Public authorities, provided that priority legal regulations apply (Categories A-F)
Subsidiaries of Hamburg Messe und Congress GmbH (Categories A, B)
Companies which acquire an event from Hamburg Messe und Congress GmbH (Categories A-D)
Foreign representatives, where the company or personal domicile of the person attending the fair is located abroad (Categories B, C)
Internally, for internal communication, services, administration and billing (Category F)
Companies processing data under contract with Hamburg Messe und Congress GmbH (Categories A-F)
Service partners for exhibition related services, where the person concerned requests such services from Hamburg Messe und Congress GmbH (Categories A-D)
Exhibitors who issue admission ticket vouchers will receive the visitor data (name, address, communication data) of the vouchers redeemed, where this is contractually agreed (Category B)
The transfer of data is always for fulfilment of the purposes indicated in section 2.
5. Statutory periods for deletion of the data The legislator has ordered diverse retention obligations and periods. After the expiry of these periods, the corresponding data is deleted. If data is not affected by this, it will be deleted, if the purposes under 2. cease to apply. So that an objection to using collected personal data for marketing purposes can be taken into consideration at any time, the objecting party’s data will be kept in a block list.
6. Planned sending of data to third party states
In order to fulfil contractual purposes, or to conduct pre-contractual activities with potential exhibitors / exhibitors and with companies visiting or potentially visiting the exhibition, the data are in general to be transferred to the foreign representative of the relevant third country. For this purpose the relevant data, as indicated in section 3, will be transferred to the relevant foreign representative.
In the case of representatives of companies visiting exhibitions from third countries, the visitor name can be transferred to the relevant foreign representatives, provided that no refusal has been given for such transfer. The registration data of a company visiting an exhibition, the representative of which contacts an exhibitor, may be transferred to the exhibitor visited, provided that the consent of the visitor is given, regardless of whether the exhibitor concerned is from Germany, the EU or a third country.
The registration of a data whose representative visits an exhibitor at the fair stand may be transferred to the exhibitor visited, provided that scanning of such data on the barcode of the admission ticket has not been refused by the visitor; this applies regardless of whether the exhibitor concerned is from Germany, the EU or a third country.
Right of objection
Naturally, every one of our customers is at liberty to indicate purposes for which his person-related data should not be used. Should you no longer wish your data to be used for a specific purpose, you can object to farther reaching use of your data here.
